The hire of Disco Magic is subject to agreement of the Terms and Conditions as laid out below.

Agreement.

The client, you, (as detailed in the booking form and all communications) agrees acceptance of the Terms and Conditions when hiring Disco Magic.

Booking.

A written quotation / invoice will be supplied at point of booking detailing all information regarding the event. It is the client’s responsibility to ensure that these are correct.

Unless otherwise advised, a £100 non-refundable booking fee, as well as a signed Term’s and Conditions document is required to secure Disco Magic for your chosen date.

Cancellation

If your choose to cancel your event, the following charges will apply and are payable in full.

Within 3months of your event: 50% of the quoted amount.
Within 2 Month of your event: 75 % of the quoted amount
Within 1 month of your event: 100% of the quoted amount.

Whilst it is very rare, if on an occasion where we have to cancel a booking due to circumstances beyond our control (weather, illness, etc) any deposit and monies paid will be refunded in full. We will attempt to provide a substitute disco if possible when forced into cancellation for the afore mentioned reasons, but can not guarantee this and will not be held liable in such an occurrence. We retain the right to cancel the disco and give NO refund should we discover that the venue is unsuitable or that access is not allowed or is dangerous in any way – even on the night. Moreover if the event is to be held in a marquee and it is discovered that the marquee is leaking in any way we wholly reserve the right to cease setup and leave due to the nature of health and safety along with our electrical equipment.

Payment

All outstanding monies must be paid no later than 7 working days prior to the event, by BACS unless otherwise agreed. Cheques are not accepted.  Any late payments will incur a charge of £7.50 per day until the amount has been received in full.

Setting Up

We require a minimum of 60 minutes, but preferably 90, for setting up our equipment. Please ensure that the venue is aware of this.
If the function area is not located on the ground floor or is a substantial distance from the unloading area then you need to tell us, as setup time may be longer.

It is the your responsibility to ensure that the disco package booked is suitable for the venue and for your event. No refunds, part of full, will be given for non-use of specific equipment that cannot be used due to any restrictions.

We normally need an approximate space of 4 x 3 metres. We do our utmost to work with any space constraints there may be, although this may result in a smaller set-up for which we will not be held accountable.

It is your responsibility to make sure that there is an adequate provision of electrical power within ten meters of our set-up point. We require a minimum of 2 x 13amp outlets dedicated purely for our equipment (not in the form of an extension lead). Any damage caused to our equipment by an inadequate power supply or power interruption will be invoiced to you.

Entertaining

We do occasionally get things wrong. If there is something that you are not happy with, at any point throughout your event, please ensure you tell us as quickly as possible so that we can make sure we can put it right. Any instructions from the venue management regarding volume levels will take president over that of yourself.

We cannot guarantee to have every song ever released, and will not be held accountable should a specific song request not be available or played.

Any extension request taken on the night to finish later than planned will be try to be accommodated, but is not guaranteed and is subject to an hourly charge, paid prior to any extension as well as permission being sought from the venue management.

Only the Disco Magic and its personnel may operate our equipment. Under no circumstances may you or your guests tamper, move, interfere or touch owned by us. Any damage caused by a third party will be invoiced directly to you.

Children & Children’s Parties

Disco Magic nor any of its personnel will be held responsible for any children at any time, furthermore we require a suitable adult to take responsibility for all children at all times. For our safety, we make a condition never to be left with children, and therefor look to you to ensure that there are enough suitable adults attending any event where children will be present.

Additionally we politely ask that children do not “play” in the vicinity of the DJ area – especially when we are setting up.

Model Release

On occasions we may bring a photographer or camera with us to take photographs of you and your guests for our marketing. You agree that it is acceptable to use any photos taken for any digital or printed marketing. If you are not happy with this then please advise in advance.

Safety

It is your responsibility to ensure that your guests conduct themselves in a proper manner at all times. Furthermore, you are responsible for all guests and their actions.

We expect to go about our duties without harassment from person or person at your event, nor do we tolerate violent aggressive or abusive behavior. If we feel at any time that we are under threat either verbally or physically we reserve the right to suspend or terminate our services without notice. Furthermore we will not hesitate to call the Police to escort us of the premises should we feel this is required.

Any damage caused by unruly or alcohol related person or persons shall be invoiced to yourself.

We cannot be held responsible for you or your guests being hurt or damage to clothes when near or touching any part of our equipment. We cannot be responsible for guests suffering from any illness or allergy.
